Map Submission Guidelines

To create the most accurate property maps, please provide the best information available to you. The methods below are listed in order of preference—start from the top and use the option that best matches the materials you can share.

CAD Drawings or Detailed Property Maps (Preferred)

The most accurate and efficient way to create property maps. CAD or architectural files should clearly include: Unit numbers, Stairwell locations, and Elevators. Providing these ensures the fastest and most precise results. Samples of completed property maps and unit directories are available for reference.

Fire Escape Plans with Unit Numbers

If CAD files are not available, evacuation or fire escape plans with unit numbers are the next best option. These are often posted near elevators. Photos of these plans can be submitted.

Fire Escape Plans without Unit Numbers

If your fire escape plans do not include unit numbers, Beans.AI will create a draft map for you. As the property manager, you will review and validate this draft before finalization.

No Fire Escape Plans — Paper Drawings

If no fire escape plans exist, we can build a draft using alternative details you provide, such as Hand-drawn sketches and Notes. You will review and confirm accuracy before the final version is produced.

On-Site Mapping (Last Resort)

If none of the above materials are available, Beans.AI can dispatch a team member to create a map on-site. This option takes the most time and should be used only when no other information is available.

Site visit details: Scheduled through Entrata–Beans chat support. Requires property access for ~1 hour. The agent may ask about amenities and floorplans. Providing an access code or key fob is preferred. Cost is $150 one time.
